Trade show merchandise planning

Giveaways built for your booth goal.

The best trade show merchandise is not simply the cheapest item with a logo. It earns attention, starts a conversation or stays useful after the event. We source around your audience, budget, quantity and in-hands date—then manage artwork, production and delivery.

Start with the outcome

What should the giveaway do?

A useful product choice begins with the booth experience. One event may need reach; another may need qualified conversations or a premium follow-up for a smaller audience.

01 / ATTRACT

Pull people toward the booth

Visible, playful or interactive items can create curiosity across the aisle. The idea should connect to the brand, not become novelty for novelty's sake.

02 / ENGAGE

Open a useful conversation

A product tied to a demo, question or booth activity gives the team a natural reason to talk—without making the exchange feel transactional.

03 / REMIND

Stay useful after the show

Drinkware, bags, desk products, apparel and tech accessories can carry the brand into daily routines when quality and audience fit are right.

Merchandise formats

Match the item to the moment.

We can source common promotional products and more custom concepts. The right route depends on how many people you need to reach, how distinctive the product should be and how much production time is available.

A

High-volume handouts

Compact, easy-to-carry items for broad booth traffic.

Think: useful, portable, easy to explain
B

Conversation rewards

A stronger item for visitors who complete a demo, scan or qualified conversation.

Think: better perceived value, tighter quantity
C

VIP and client gifts

Premium merchandise for scheduled meetings, speakers, partners or top prospects.

Think: presentation, personalization, shipping
D

Staff and booth kits

Coordinated apparel, bags, supplies and branded touchpoints for the team working the event.

Think: sizes, packing, arrival instructions

Plan backward

A practical event-merch timeline.

Every product and production route is different. These phases show what must happen; we confirm an actual schedule only after checking the selected item, decoration, quantity and destination.

Brief and direction

Define audience, booth objective, budget, quantity, event date and any venue requirements.

Product and artwork

Review focused options, digital mockups, decoration details and a consolidated quote.

Proof and production

Approve final artwork before production begins. Sampling needs vary by product and timeline.

Freight and receipt

Plan for venue labels, advance warehouse dates, drayage rules or delivery to your office first.

Quick decision guide

Compare by use—not just unit price.

The lowest-cost option can become expensive if it misses the audience, arrives late or creates unnecessary logistics. We weigh the full project before recommending a route.

Trade show FAQ

Questions before you order.

Have a venue manual or an unusually tight deadline? Include it in the brief so we can assess the actual constraints.

How early should we start planning?

Earlier gives you more product, decoration and freight options. The real lead time begins after the product, artwork and quantity are approved, so share the event date first and we will only recommend routes we can responsibly evaluate.

Can you ship directly to a convention center?

Yes, when the venue accepts the delivery and the required labels, dates and instructions are available. We can also ship to an advance warehouse, hotel, office or other approved destination.

Can one project include inexpensive giveaways and premium gifts?

Yes. A tiered plan often works well: a broad item for booth traffic, a stronger item for qualified conversations and a limited premium gift for meetings or priority prospects.

Do we have to know the exact product?

No. Audience, objective, quantity, budget and deadline are enough to begin. We use those constraints to narrow the field and show focused branded concepts.

Can you help with regular company merchandise too?

Yes. Swag You Keep can source merchandise for conferences, teams, onboarding, schools, client gifts and other programs—not only trade shows.
